During my first month of internship at King Faisal University—
specifically, in the Female Student Housing Department—I was
assigned a number of diverse administrative tasks. These tasks
greatly helped me understand the nature of administrative work
and how to handle office work in an organized and professional
manner. Some of the most prominent tasks I performed were:
1. Sorting the files of female students residing in university
housing:
My primary task began by sorting the files of female students, both
new and returning, by ensuring their receipts were available. The
process required precision and organization, as it was essential to
arrange invoices and receipts according to delivery dates to ensure
easy access.
2. Reviewing and Updating Student Data:
I was responsible for verifying the accuracy of student data,
specifically their class schedules. I checked the consistency of
names with their academic numbers, and updated any missing or
incorrect information in coordination with the relevant
departments.
3. Classifying Files by Academic Number:
The files were organized according to their academic numbers,
from oldest to newest, which facilitated the search and review
process when needed.
4. Alphabetize Files:
As an additional step to increase organization, I also sorted the
files alphabetically by student name. This made it easier to access
any file in record time when requested by the administration.
Through these daily tasks, I gradually learned how to manage
documents and records, a fundamental task in any administrative
environment.
What skills did you learn through the month?
During this month, I felt like I had actually begun applying many
of the management concepts I had learned theoretically at
university. I also gained several important practical skills, New skill(s)
including:
Efficient Time Management:
I learned how to prioritize and allocate my time appropriately,

especially when I was responsible for multiple tasks at once. This
helped me avoid procrastination and stress.
Working Under Pressure:
With the increased workload at the beginning of the semester, I
had to complete many tasks in a short time. This helped me
strengthen my ability to manage stress and make quick decisions.
Developing Communication Skills:
I always made sure to communicate effectively with supervisors
and employees, ask for help when needed, and share opinions
professionally.
Creative Problem Solving:
I encountered situations that required quick solutions, such as
difficulty organizing certain files due to a lack of data. I learned
how to search for practical solutions in collaboration with the
team.
Enhancing Teamwork:
I also gained the skill of respecting different viewpoints and
collaborating with colleagues to achieve a common goal.
How many meetings did you attend?
At the beginning of the training, I attended an important
introductory meeting during the first week, which brought together
a number of female employees and university housing officials.
During this meeting, the department’s workflow was explained,
Meeting(s)
tasks were distributed, and regulations that must be adhered to
during the training period were clarified. This meeting helped me
understand the general nature of administrative work and enabled
me to ask questions about some details that were initially unclear
to me.
What are the difficulties you had this month?
One of the biggest challenges I faced this month was the large
number of students who started living at the beginning of the
semester, which increased the amount of work required. I also had
Difficulty/ Challenge(s)
to separate housing receipts for the first semester from those for
the second semester, a task I had never done before and one that I
had to handle carefully and precisely.
How did you overcome these difficulties?

Restricted – ‫مقيد‬

‫المملكة العربية السعودية‬
‫وزارة التعليم‬
‫الجامعة السعودية اإللكترونية‬

Through careful planning and phasing out tasks, I was able
to overcome challenges. I developed a clear plan that began by
sorting receipts, then organizing files by academic number,
and finally alphabetically. This helped me greatly complete
tasks on time without feeling stressed or disorganized.
What did you learn from completing the tasks
My experience this month was very rich and full of lessons. The
most important thing I learned was that any successful
administrative endeavor must be built on a prior plan and an
awareness of details. I also learned that mistakes are a natural part
of learning, and the most important thing is how to deal with them
and leverage them to improve future performance. I also realized
the importance of taking the initiative to learn from those with
experience, as they possess practical expertise that cannot be
acquired from books alone.
Learning
What did you want to learn more?
As a management major, I aspire to further develop my skills,
particularly in relation to daily administrative tasks such as
preparing reports, organizing meetings, and handling electronic
systems used in government departments, among others. I also
want to learn how to handle electronic archiving and how to
coordinate between different departments within an organization. I
look forward to being able to perform any administrative task
efficiently and professionally in the future.

During this month, I participated in a number of diverse tasks that
helped me understand the real-world work environment in the
administrative field. I began by reviewing invoices and financial
receipts, ensuring their accuracy and consistency with records.
Next, I entered attendance data for university housing staff, which
required me to be attentive and focused to avoid errors.
I also participated in the archiving of student files, learning how to
organize them alphabetically and according to academic records,
making them easier to access later. I gained a new experience
through a field visit with the maintenance team within the housing
facilities, where I witnessed firsthand how they deal with
malfunctions and provide immediate solutions.
In addition, I reviewed the daily schedules of the housing staff
using Word and was responsible for adjusting them according to
daily changes.
What skills did you learn through the month?
.During this month, I learned that management is not just office
tasks, but an art that relies on planning, communication, and
making the right decisions at the right time. I noticed the
importance of organization, and how accuracy and speed in
completing tasks reflect a positive image of the employee.
My communication skills strengthened, and I began to feel more New skill(s)
confident in dealing with colleagues, supervisors, and even
employees outside the department. I also learned how to be
flexible in the work environment and how to adapt to sudden
changes.
The most important thing I learned was that every challenge I face
can be transformed into an opportunity for learning and growth,
and this is something I’ve truly come to believe over time.
How many meetings did you attend?
Meeting(s)
I attended one meeting where the tasks and responsibilities I would
be performing during this period were outlined.
What are the difficulties you had this month?
One of the challenges I faced at the beginning of my training was
interacting with male maintenance staff, especially since it was my Difficulty/ Challenge(s)
first time engaging in this type of practical interaction. I felt
hesitant at first, but over time, I began to gain greater comfort and

confidence. Being in a professional environment helped me
develop my communication skills and understand how to deal with
diverse personalities with respect and professionalism.
How did you overcome these difficulties?
My experience in the on-campus dormitory was one of the
most influential experiences in my life and contributed to my
development on many levels. Although I expected limited
interaction, the reality was completely different. I found myself
in an environment full of cultural and social diversity,
including students from different backgrounds and diverse
ideas. This diversity provided me with a great opportunity to
learn from others, understand their ways of thinking, and
appreciate their differences, which directly helped me improve
my communication and interaction skills.
Through this environment, I became more aware of how to
deal with different daily situations. I learned how to be flexible
in my thinking and tolerant of opinions that may differ from
my own. This experience also contributed to stimulating my
creative energy, as I was always looking for new ways to solve
problems, organize my time, or contribute to creating a
positive atmosphere within the dormitory.
Now, looking back, I have no regrets about this stage; on the
contrary, I consider it one of the most important milestones in
my life. It has provided me with many invaluable experiences
and lessons, strengthened my understanding of personal and
social success, and enhanced my pursuit of self-realization and
my deep understanding of others, an understanding that
continues to grow and develop with time and experience.
What did you learn from completing the tasks
.I learned that collaboration among team members is the
foundation of success, and that an organized distribution of tasks
makes work smoother. I also realized the importance of paying
attention to small details, as they can significantly impact the final
outcome.

Learning

I also discovered that thinking ahead and analyzing problems
before they occur helps avoid many mistakes, and this is
something I will always strive to apply in my professional life.

As a business administration intern, I have a strong desire to
expand my technical and administrative skills. I want to learn how
to design professional databases and understand the best methods
for collecting and analyzing data statistically. I also want to
acquire leadership skills that will help me build effective work
teams in the future.
I believe that training is just the beginning, and that every
experience I have now forms part of my future professional
identity, which I strive to be a leader and influencer, God willing.
