What are the activities and tasks given to you during this
month?
I was responsible for preparing job descriptions and the

organization. Additionally, I developed the annual leave plan,
coordinating vacation schedules to ensure smooth workflow
and prevent conflicts throughout the year.
What skills did you learn through the month?
I learned how to prepare detailed job descriptions for the
available positions within the organization, ensuring that
each role is clearly defined and aligned with the company’s
needs. Additionally, I gained experience in developing the
annual leave plan, which helps in organizing and managing
employee vacations throughout the year to ensure smooth
operations and prevent any scheduling conflicts.
How many meetings did you attend?
I attended 5 meetings with each department manager to
gather the necessary information needed to prepare the job
descriptions and the annual leave plan for each department.
These meetings were crucial in understanding the specific
requirements of each department and ensuring the accuracy
and effectiveness of both tasks.
What are the difficulties you had this month?
While preparing the annual leave plan, some employees
within the same department submitted leave requests for the
same month and dates, which caused a conflict with the work
requirements.
How did you overcome these difficulties?
I explained to the employees, along with the department
manager, the importance of coordinating leave dates to avoid
conflicts with work requirements.

confusion or redundancy in work and also helps define the
organizational hierarchy. Additionally, preparing the annual
leave plan saves time and effort in organizing vacations

management are prepared in advance for the leave dates. This
allows employees to hand over tasks during their leave and

Meeting(s)

Difficulty/ Challenge(s)

What are the activities and tasks given to you during this
month?
During this month, I was assigned two main tasks. First, I
worked on preparing the organizational structure, which
involved outlining the various departments, roles, and
reporting relationships within the company. Second, I
assisted in preparing the payroll, ensuring that employee
salaries were calculated accurately, taking into account
factors like attendance, overtime, and deductions, and
ensuring timely processing of payments.

Throughout the month, I gained several valuable skills. I
learned how to calculate overtime and handle administrative
penalties. I also became familiar with managing annual
bonuses and allowances. Additionally, I learned how to
extract attendance and departure fingerprint data and how to
prepare the organizational structure effectively.
How many meetings did you attend?
I attended one meeting with the HR Manager, where we
discussed and outlined the steps needed to prepare the
organizational structure. During the meeting, the roles and
responsibilities within the company were clarified, and we
worked on organizing the departments and their relationships
in alignment with the company’s goals.
What are the difficulties you had this month?
I faced difficulty with errors in the company’s attendance and
departure fingerprint system. These errors needed to be
corrected to ensure the accuracy of the data used for payroll
preparation.
How did you overcome these difficulties?
I overcame these difficulties by manually correcting the
attendance and departure fingerprint data for the employees. I
carefully reviewed the records, identified the errors, and
made the necessary adjustments to ensure the data was
accurate. This process helped ensure that the payroll
preparation was not affected, and the employees’ attendance
records were properly updated.
