Microsoft has various retention management solutions in its Microsoft 365 environment, mainly in the
Compliance Center. Businesses can set up and manage retention labels and policies within data or
lifecycle, which affects the utilization of services such as SharePoint, OneDrive, and Exchange. These
policies define the duration of data retention as well as what time archiving or deletion should take place.
The recommendations given by Microsoft enable the organization to meet legal rules and standards like
the General Data Protection Regulation and the Health Insurance Portability and Accountability Act, apart
from avoiding the perils inherent in storing needless data (Turban et al., 2018). Through retention and
deletion automation, Microsoft takes care of the data to minimize resource strain while at the same time
enforcing regulations on these data. The recommendations for retention are made under the premise of
legal and regulatory compliance.

Microsoft’s policies and records management solutions are in the set of tools, so they need to be more

help organizations in data lifecycle management because data has to be retained for a stipulated time
and then either archived or eliminated. Retention policies also seek to control spending and eliminate the
risks associated with holding an excess volume of information that may require revision in some instances
or may be of no use at all.
Services and Solutions
Amazon S3 is a highly adaptable storage system enabling versioning, creating copies in other regions,
and managing data policies. It is cheap in the long run and is, therefore, suitable for backup storage.
AWS Glacier has multiple options to restore the data and is also useful when it comes to legal hold and
other storage requirements for the long term. There are tools available for monitoring and managing
access and compliance data, namely AWS Cloud Trail and AWS Config (Turban et al., 2018). This is also
used for archival storage, and hence, you can store your data in archival storage in AWS Glacier.
Records management solutions of AWS, such as Amazon S3 and AWS Glacier, are advantageous to
business managers because they assist organizations in storing vast volumes of information and
suitability for different retention periods. Essential elements such as lifecycle policies and data versioning
help deal with high volumes of information and reduce overhead. AWS also offers monitoring and
compliance solutions that can be used to address issues such as legal requirements and the high costs of
managing large amounts of data.
