Within my organization, software to process freight is heavily relied upon. The software has
become an outdated legacy system which contributes to multiple crashes and freezing causing
the terminal to fall behind (Tsai, et. al, p.3, 2023). The solution relies on modernizing the legacy
software to modern capabilities (Free Press Journal, p.1, 2024).
Conclusion and Recommendations
The first step into modernizing the legacy software is to implement an automated updating
service that brings the general software up to date (Free Press Journal, p.1, 2024). Once the
software is modernized, the organization must begin to implement the program into terminals.
The organization should start with one terminal to test the initial results of the new software
program. This is the trial era of overcoming any implications in the software and fine tuning.
Once the software proves to be effective to the organization, it can then begin to expand to
following terminals. It should specifically be done in increments to reduce any hinderance
during daily operations.
Implementation Plan
This project should be conducted by a matrix organization. A matrix organization provides the
ability to direct dedicated teams solely on implementing this new software program throughout
the organization’s terminals (Gido, p.449, 2017). With the implementation of a matrix
organization, teams can double up on larger terminals and have lesser footprints at smaller
terminals. Due to the volume of terminals spread across the nation a budget of one million
dollars should be implemented. The estimated outcome is that with an updated software
program it should reduce the overall maintenance and operating costs for a projected rate of
ten years making a one-million-dollar budget feasible.
An implementation should be created by the organization consisting of individuals in charge of
specific areas, how long it should take to complete these tasks and when they should be
completed (Gido, p.228, 2017). An IT team should first pick a modernizing legacy software
program to be implemented. Once a program has been selected, the program should enter the
trial phase at one specific terminal most preferably a smaller one to avoid delays in major
terminals. Once the software program has been perfected, it then begins total implementation
to every terminal. Using a matrix organization, the team department will ultimately remain the
same, however, it will increase in size during the final implementation. The implementation for
software introduction should begin within the first six months. The termination of the project
should be completed no later than two years of initial inception.

Originally, the customer sought a way to expand the company’s career services department.
The stockholders approved the expansion and agreed to the budget. The plan was to add
another wing to the facility to have a department dedicated to career services for our students.
Upon reviewing the plan, the project manager helped them to see that it would be more cost-
efficient to remodel the space we already have and just reorganize it. According to Goh &
Hall (2013), “The two most important quantifiable performance measures in project
management are completion time relative to a planned schedule and cost incurred relative to a
budget” (para. 2). The company wants this project completed within 2 months and has a strict
budget. By remodeling instead of adding or expanding, the company will save thousands of
dollars and meet their deadline. That will create a bigger budget for training and developing the
new career advisors they are hiring for this project. Gido (2017) states, “An important aspect of
the project manager’s job is to manage and control changes to minimize any negative impact on
the successful accomplishment of the project objective” (p.345). As a project manager,
sometimes changes must be made to meet the customer’s needs. This particular change was
not requested by the customer. However, it is the best way to ensure that they are satisfied.
Therefore, the project manager has more room to focus on the project being a success
internally. The goal is to help our students find work in their field of study to help them be
successful. To do that, the focus will be on career advisors’ training and development. The
contractor hired by the project manager will now be responsible for upgrading the restrooms to
accommodate the additional 25 employees that were hired to fulfill the career advisor position.
The stakeholders want this project fully completed and running smoothly by June 1st. The
training supervisor will ensure that the training materials are developed and perfected by May
1st, as well as ensure that the designated trainers are equipped to teach them.
