The second shift housekeeping manager at St. Mary’s Nursing and Rehab Home called all her staff for a meeting to discuss a new method for assigning work units. First, the manager asked the employee what they liked and disliked about the department’s operations. She listened and took notes. The main concerns were that the unit assignments change frequently and are unpredictable, so the housekeepers are not able to get to know the nurses/clinicians or patients on the floor, and they have to “re-learn” specific cleaning duties for each unit each night. After making the calls, the manager led a team group exercise to determine what the staff valued most about their work assignments. Again, she took notes and paid attention to all responses. The housekeepers really appreciated when they were able to collaborate with the nurses regarding the priority of work that needed to get done, so they were helping the nurses to give the best quality patient care. The manager told the staff that she would take all of the input and schedule another meeting in one week to share a proposal for how the new unit staffing assignments would work.

Imagine that you are this shift housekeeping manager. First, write a memo summarizing the meeting in 2–3 sentences. Then outline your proposal to address the team’s concerns and improve the workflow. This memo should be addressed to the department director and facility administrator. Your intent for the memo is to share the feelings of your staff, outline your plan to improve the process of assigning work units and get the support of the department director and administrator before responding to your team in the next team meeting.
